Workflow automation
Workflow automation that ends the manual re-typing
Connect the tools you already pay for so data moves itself - CRM to invoicing, inbox to task board, form to spreadsheet to follow-up - without a person in the middle copying fields across.
The tax nobody budgets for
Every growing business accumulates a private tax: the hours spent moving information between systems that do not talk. An order arrives by email, gets typed into the CRM, gets typed again into the invoicing package, and a reminder gets set by hand. Nobody was hired to do that. Everybody does it.
It is expensive in three separate ways. It costs the hours themselves. It costs the errors, because human transcription has an error rate and it is not zero. And it costs the delay, because work sits in a queue waiting for a person to notice it.
Workflow automation removes the person from the middle without removing the person from the decision. The data moves itself; a human still approves what needs approving.
What we build
CRM data syncing
Your CRM stops being the system somebody remembers to update. Enquiries, calls, quotes, job status and outcomes flow in from wherever they actually happen - the website form, the inbox, the phone agent, the field app - so the pipeline reflects reality rather than last Friday.
Email sequence automation
Follow-ups that fire on what a customer did, not on what day it happens to be. Quote sent and not opened after four days, job completed and no review requested, subscription lapsing next month - each becomes a triggered sequence rather than a task someone forgets.
Invoice processing
Inbound invoices read, coded and matched against purchase orders; outbound invoices raised from completed work without re-entry. Exceptions - a mismatch, a duplicate, an unusual amount - are routed to a human with the discrepancy highlighted, rather than approved silently.
Task routing
Work assigned by rules you set: skills, workload, region, urgency, customer tier. The right job reaches the right person the moment it exists, and the ones nobody has picked up escalate instead of quietly ageing at the bottom of a queue.
Multi-app integrations
The connective tissue between the tools you already run - Slack, Gmail and Google Workspace, Asana, GitHub, your CRM, your accounting package, your database. Built on their documented APIs, with retries, logging and alerting, so a failure surfaces instead of vanishing.
What we automate most often
- Enquiry capture into CRM, from every channel
- Quote and invoice generation from completed work
- Purchase-order and invoice matching with exception routing
- Onboarding checklists that create themselves
- Scheduled reporting, assembled and delivered
- Data reconciliation between two systems of record
- Document generation and filing
- Alerting when something does not happen on time
Built to fail loudly
The dangerous automation is the one that breaks quietly and is not noticed for three weeks. Everything we build logs what it did, retries what is safely retryable, and raises an alert when it cannot complete - because silent failure in a finance or customer workflow is far more expensive than a job that stops and says so.
Where an automation touches money, personal information or a customer-visible commitment, we put a human approval step in front of it by default. You can remove that once you trust the automation. We would rather you added risk deliberately than inherited it.
We build with n8n, LangGraph and direct API integrations, and instrument the result with LangSmith and Phoenix so behaviour is observable rather than assumed. The full stack is here.
Common questions
Do we have to change the software we already use?
No. We integrate through the APIs your existing tools already expose. Zero changes to your existing systems is a standard we hold ourselves to on every deployment - migrating you to something new is a much bigger project than the one you asked for.
What if one of our systems has no API?
It happens, particularly with older Australian industry software. There are usually workable paths - scheduled file exports, a database connection, or a supported integration layer. If there is genuinely no safe route in, we will tell you that rather than build something fragile on top of screen-scraping.
Who owns the automations you build?
You do. They run in your accounts, on your infrastructure where practical, and we document them so another developer could pick them up. We are not interested in building a dependency you cannot leave.
How do we know it is still working?
Every workflow is logged, and failures alert rather than disappear. For anything business-critical we set up a heartbeat, so silence itself triggers an alarm - the failure mode that catches people out is not the error, it is the automation that stopped running months ago.
Which job does nobody want to do?
Usually it is the one where someone copies the same figures between two systems every Monday. Tell us about it on a free call and we will tell you what it would take to delete it.
Free call, Australia-wide. No pitch, no pressure.
